Only the hierarchy owner can manage billing and subscriptions. This ensures secure financial control.
Viewing Your Current Subscription
- Navigate to Organization Settings
- Click “Billing & Subscription”
- View your current tier, billing cycle, renewal date, and payment method
Billing Cycle Options
Helm subscriptions are available on a monthly or annual basis. Annual billing saves approximately 17% compared to paying month-to-month.

Upgrading Your Subscription
To upgrade from Free, or from one paid tier to a higher one:

Go to Billing Settings
Organization Settings → Billing & Subscription

Click “Upgrade”
Select your desired tier (Core, Pro, or Leader) and choose monthly or annual billing.

Enter Payment Information
Provide credit card details. Payment is processed securely through Stripe.

Confirm Purchase
Review the amount and billing cycle, then confirm.

Instant Activation
Your new tier limits and features are available immediately.

Updating Your Payment Method
To change or update your payment method:
- Go to Billing & Subscription
- Click “Update Payment Method”
- Enter new card details
- Click “Save” to update
Payment Method Updates
Your payment method is charged automatically on your renewal date. Update your payment method before the renewal date to avoid service interruption.
Renewals and Automatic Billing
Subscriptions renew automatically at the end of each billing period unless you cancel beforehand. You will receive an email reminder 7 days before renewal.
- Monthly subscriptions renew each month on the same date you first subscribed.
- Annual subscriptions renew once per year on the same date.
- If a renewal payment fails, Helm will retry three times over 7 days. You will receive email notifications for each failed attempt. If all retries fail, your subscription is canceled and your hierarchy reverts to the Free tier.
Proration on Upgrades
If you upgrade mid-cycle:
- You are charged the prorated difference for the remaining time in your current billing period.
- Your renewal date stays the same.
- On your next renewal, you are charged the full price for the new tier.
Downgrading
When you downgrade to a lower tier (including Free), your current plan stays active until the end of your billing period. After that, your hierarchy moves to the new tier's limits. Existing data is never deleted — you simply cannot create new items that exceed the lower tier's limits until you are under them.
Invoices and Receipts
Viewing Invoices
- Go to Billing & Subscription
- Scroll to “Invoice History”
- View all past invoices with dates and amounts
Downloading Invoices
- Click “Download PDF” next to any invoice
- Invoices include organization name, billing details, and payment breakdown
- Use for expense reports or business accounting
Tax Information
Invoices do not include sales tax by default. If you need tax-inclusive invoices, contact support with your tax ID.
Canceling Your Subscription
You can cancel your subscription at any time with no penalties or fees.

You will be asked to confirm your cancellation.

Choose Cancellation Timing
Cancel immediately or at the end of your billing period.

Confirm Cancellation
Your subscription will be canceled as requested.
⚠ What Happens After Cancellation
- You keep full access until the end of your billing period
- After that, your hierarchy reverts to the Free tier
- Ensure you are within Free tier limits before the period ends
- No refunds for the remaining partial period (unless within the 30-day money-back window)
Preparing for a Downgrade to Free
Before your paid subscription ends, review these Free tier limits and reduce accordingly:
- Reduce hierarchy members to 2 or fewer
- Reduce active tasks to 5 or fewer
- Reduce contracts to 1 or fewer
- Delete media files to fit within 100 MB total storage
- Rewards, consequences, rituals, and other items over Free limits become read-only — you cannot create new ones until you are back under the limit
Reactivating a Canceled Subscription
If you canceled and want to reactivate:
- Go to Billing & Subscription
- Click “Reactivate Subscription”
- Choose your tier (Core, Pro, or Leader) and billing cycle
- Confirm payment — access is restored immediately

Frequently Asked Questions
Can I get a refund if I cancel?
All paid plans include a 30-day money-back guarantee. If you cancel within 30 days of your first payment and the fit is not right, contact support for a full refund. After that period, subscriptions are generally non-refundable.
What if my payment fails?
If a renewal payment fails, Helm retries three times over 7 days. You will receive email notifications for each attempt. If all retries fail, your subscription is canceled and your hierarchy reverts to the Free tier.
Can I switch between monthly and annual billing?
Yes. You can switch billing cycles when you renew or upgrade. Switching from monthly to annual takes effect at the next renewal date; you will be charged the full annual price at that point.
Can I change tiers mid-cycle?
Yes. You can upgrade or downgrade at any time. When upgrading, you are charged the prorated difference for the remainder of your current billing period and gain access to the new tier immediately. When downgrading, your current plan stays active until the billing period ends.
Do you offer discounts for nonprofits or education?
Contact support with verification of your nonprofit or educational institution status for potential discounts.
